SharePoint Compliance Solutions - Solutions to help you climb the challenging regulatory mountain.

SharePoint 2007 can be a platform for powerful compliance solutions thanks to its advanced audit trail, encryption, information rights management, records and document management, and data.

Think of SharePoint for many of the fundamental components required to support compliance regulations.

Many companies face increasing pressure to comply with governmental regulations for handling business and personal information. These regulations are designed to protect against a diverse array of risks that span different industries, disciplines, and government agencies. Companies must develop compliance strategies to deal with these issues and Microsoft Office SharePoint Server 2007 (MOSS 2007) can play a big role in meeting common compliance requirements thanks to its advanced audit trail, encryption, information rights management, records and document management features, and more.

SharePoint Key Compliance Features

Records Management Through Retention:

  • Records Center provides secure storage for long-term retention of official records
  • One-step process to submit documents to the Records Center
  • New records are automatically classified and filed using document metadata
  • Holds prevent the premature disposal of records
  • Automates handling of email records via Exchange 2007 managed folders
  • Add-on pack supports the DoD5015.2 standard for Records Management
Records Management through desposition:
  • Records are organized according to a predefined file plan that identifies policies for each type of record
  • Expiration policy will calculate document expiration dates using formulas computed using document metadata
  • Disposition workflow notifies record owners of expired documents due for disposal
Content Types and Policies:
  • Content types are used to classify all SharePoint content
  • Organized in a hierarchy so that a content type can automatically inherit configuration settings from a parent
  • Required metadata and policies are established and enforced based on the type of content, independent of storage location
  • Built-in policies are available for auditing, disposition, labeling, barcodes
  • SharePoint may be extended to add new policies via custom development
  • These features are supported for all working documents, not just records

Auditing and Logging:

  • All types of activities can be logged for auditing purposes
  • Security changes (changes to users, groups, permissions)
  • Data and document access (add, modify, delete, view)
  • Changes to site design and configuration settings
  • Administrators control what gets logged
  • Auditing policies can be established for specific content types
  • Pre-defined and custom audit reports are generated as Excel spreadsheets
Workflow:
  • Automates standard approval and notification work processes
  • Both built-in and custom workflows are supported
  • Common workflows are included out of the box (e.g. Approval, Disposition, Collect Feedback)
  • Workflows can be associated with content types to facilitate handling of different types of documents
  • Complex workflow forms may be designed and customized using InfoPath
  • Users can fill out workflow forms using a standard web browser (no software install required on the workstation)
Other compliance features include Digital Signatures and Information Rights Management which, along with the features described above, help meet requirements for SOX, HIPAA, GLBA, Basel II, SEC, 21CFR, DoD 5015.2, and ISO
